Who this covers
This policy covers the Community Manager Toolkit plugin and this website. The publisher is Jason Basel, an individual based in the United Kingdom (contact: jason@communitylab.ai).
The short version
- The plugin is instructions only (skills). It has no server, and it does not collect or store anything.
- This website uses no analytics and sets no cookies of its own.
- Whatever data you use with the plugin is processed by the AI assistant you run it in and by any tools you connect, under those providers’ terms.
- If you use it with member data, you are responsible for having a lawful basis and any consent needed.
The plugin
The plugin is a set of written instructions that your AI assistant follows (for example in Claude or ChatGPT). It is not software that runs on a server, and I do not operate any service behind it. I do not receive your prompts, your files, your member data or your outputs, and I cannot see how you use it.
When you use the plugin, the information you give your assistant (for example a guest list, a member export or a WhatsApp chat export) and the tools you have connected (for example Luma, HubSpot, Notion, Slack, Google Drive, Airtable, Gmail or Circle) are handled by those providers under their own terms and privacy policies. Check the settings and policies of the assistant and connectors you use.
The plugin’s instructions tell the assistant to read only the fields it needs (such as name, organisation, role, location, what someone wants and offers, and when they were last active), to keep phone numbers and email addresses out of reports and the intro ledger, to write drafts rather than send messages, and to ask you before writing anything to a connected tool.
Your responsibilities when you use member data
If you use the plugin with information about your members or guests, you (or your organisation) decide why and how that data is used, and are responsible for complying with data protection law, including the UK GDPR and GDPR where they apply. In particular:
- have a lawful basis for using the data in this way, and get consent where it is needed, for example before contacting people or sharing their details with another member;
- tell your members how you use their data;
- do not paste in more personal data than you need, and avoid special-category data (such as health, religion, ethnicity or sexual orientation);
- honour removal, opt-out and access requests from your members. The plugin’s instructions ask the assistant to treat them immediately and record them in your intro ledger, but the obligation is yours.
The plugin’s consent-first rules are designed to help, but they do not replace your own legal obligations or advice.
This website
This site is a set of static pages hosted on GitHub Pages. I run no analytics and set no cookies on it, and it loads no third-party scripts, fonts or trackers. GitHub, as the host, may process technical data about visitors (such as IP address and request logs) under GitHub’s privacy statement.
Support messages and GitHub issues
- Email. If you email me, I process your email address and what you write in order to reply, because it is in my legitimate interests (and yours) to answer your question. I keep messages only as long as needed to deal with your request.
- GitHub issues. Issues and comments on GitHub are public and are handled by GitHub. Please do not post member data, personal data or anything confidential there.
I do not sell personal data or share it for advertising.
Your rights
Under UK data protection law you can ask me what personal data I hold about you, and ask for it to be corrected or deleted. The only personal data I hold is what you send me in support messages. To make a request, or to ask for help or removal, email jason@communitylab.ai.
If you are a member of a community whose manager uses this plugin, send requests about your data to that community manager, since they decide how your data is used. If you are unhappy with how I handle your data, you can complain to the UK Information Commissioner’s Office at ico.org.uk.
Children
The plugin and this site are aimed at people who run communities and are not intended for children.
Changes
If this policy changes I will update this page and the date above.
